Every July the same scene repeats across Palampur: a client arrives with a Form 16 and nothing else, and the filing stalls because the interest certificates, investment proofs or capital gains statements are missing. This guide exists so that never happens to you. Gather the documents listed for your situation and your return can be prepared in a single sitting.
The documents everyone brings
- PAN and Aadhaar — mandatory; PAN must be linked to Aadhaar or the return cannot be e-verified smoothly.
- Form 26AS — the annual tax statement showing every rupee of TDS deposited against your PAN. Download it from the income tax portal; it is the master record everything else is checked against.
- AIS (Annual Information Statement) — a broader view that also captures mutual fund redemptions, share transactions and high-value purchases. Reconcile it, don't ignore it.
- Bank account details — all accounts held during the year must be reported; nominate one for any refund.
If you are salaried
- Form 16 from your employer (Part A shows TDS deposited, Part B shows the salary breakup).
- Salary slips for the year if Form 16 is unavailable — they are sufficient to reconstruct the figures.
- House rent receipts or your rent agreement if you claim HRA.
- Investment proofs claimed under the old regime: LIC premiums, PPF, ELSS, tuition fees, home-loan principal certificate from your bank.
If you are retired or living on interest
- Pension slips or the bank-issued pension statement — pension is taxed exactly like salary.
- Interest certificates from every bank and post-office account, plus FD and RD interest summaries. Interest below 10,000 per bank is still fully taxable and still fully reportable.
- Form 10-13A if you receive family pension, to claim the deduction.
If you own a shop, firm or consultancy
- Sales and purchase records — invoices, or the books your accountant already maintains.
- Bank statements for every current account used by the business.
- GST returns filed during the year, so turnover reconciles with what was declared to the GST department.
- Loan statements showing interest paid on business borrowings.
- Previous year's return with computation, so brought-forward losses and depreciation are not missed.
If you have agricultural income in Himachal
- Land records (jamabandi / fard) and any tenancy papers.
- A rough annual account of produce sold and receipts — apple, tea and vegetable growers around Palampur and the Kangra belt often hold mandi sale slips (arhtia slips) that make this easy.
- Agricultural income is exempt, but it must still be reported, and large agricultural income can raise the tax rate on your other income through integration. Getting this computed correctly is exactly the kind of thing a CA is for.
If you sold property, shares or received rent
- Sale deed and purchase deed (or the dates and amounts if documents are old), plus improvement costs.
- Broker contract notes or the P&L from your trading account for shares and mutual funds.
- Rent agreements and the municipal taxes paid, if you let out property.
- Buyer's TDS certificate (Form 16B) if the purchaser deducted tax on the sale.
If you are an NRI from the region
- Passport and residency details to establish residential status for the year.
- NRE / NRO account statements — interest on NRE is exempt; NRO interest is taxable and usually suffers TDS.
- Rental or property income details in India, plus any capital gains statements.
Five mistakes that actually trigger notices
- Ignoring interest income. Savings and FD interest not reported shows up instantly in the AIS comparison. This is the single most common mismatch.
- Reporting the wrong employer TDS. Your figures must match Form 26AS exactly. If your employer deducted but deposited late, the mismatch lands on you.
- Skipping high-value transactions. Property registrations, credit-card spends and mutual fund redemptions all flow into AIS.
- Claiming HRA without rent receipts (or while living in your own house). Pure documentation risk.
- Missing the deadline and filing late. A belated return carries a fee under section 234F and can block carry-forward of losses.
Common questions
Quick answers.
General guidance — the right answer for your case depends on your facts.
Can I file my ITR without Form 16?
Yes. Your salary slips and the TDS reflected in your 26AS are enough to reconstruct the figures. Form 16 is convenient but not mandatory — what matters is that the salary and TDS figures you report match what your employer deposited.
Do pensioners need to file an income tax return in India?
If total income before deductions exceeds the basic exemption limit, yes. Pension is taxed as salary income, and many retirees also bank interest and FD interest that pushes them over. A return is also useful for refunds and visa or loan paperwork.
Is agricultural income taxable in Himachal Pradesh?
Agricultural income itself is exempt from income tax, but it must still be reported when it exceeds 5,000, and it can raise the tax rate on your other income through integration when it is large. Apple, tea and vegetable growers with sizeable turnover should get this computed correctly.
What is the last date to file an ITR for FY 2025-26?
For non-audit cases the due date is 31 July 2026, with a late-filing window under section 139(4) until 31 December 2026. Belated returns attract a fee under section 234F and lose the ability to carry forward certain losses.
Do I need to report my savings account interest if tax was already deducted?
Yes. All interest must be reported as income; TDS already deducted appears as credit in Form 26AS and is set off against your liability. Omitting accounts that appear in 26AS is one of the most common reasons for automated follow-ups.
